Notice of Meeting Package

The Notice of Meeting package is sent out at least 15 days prior to the meeting. The most common Notice of Meeting package is for the Annual General Meeting, which takes place once per year no later than six months after the fiscal year end. The AGM package contains some very important documents that you should read carefully.

  • Cover page - This normally contains the date and time of the meeting, and some other basic information
  • Notice of Meeting Form - This is a government form that contains more information on the meeting.
  • Agenda - The agenda for the meeting is included in this package. This is a great page to keep with you at the meeting so that you can follow along.
  • Candidate Disclosure Forms (and candidate information) - If there is an election, the candidates must fill in a Disclosure Form. Some condominium boards also like to include resumes or write-ups from the candidates so that people can make a more informed decision on who they are voting for.
  • Annual Audit - This is the most important part of the package. At the meeting the auditor will go through the finances, but it is good to give it a read in advance and come prepared. The audit goes over the financial position of the condominium and is performed by an independent third party.
  • Minutes from the previous AGM -  The minute from the last AGM are included so that owners have a record of what was discussed (and what was promised) in the past.
  • Proxy - A proxy form is included in the package so that owners that cannot attend can send someone else on their behalf.
